Our Process

We begin by discussing your meeting goals and objectives. This allows us to help you come up with a timeline and list of action steps needed to create a successful meeting.

If you would like assistance with budgeting, we can work with you to outline meeting costs for your program and assist in creating a budget that works with your financial goals.

Once we fully understand your meeting needs and specifications, we will create a detailed RFP (Request for Proposal) and manage the hotel or venue sourcing process on your behalf.

We consolidate all of the hotel proposals into one detailed summary that will easily allow you to review, compare, and narrow down your options.

Our network of over 4,000 hotels, along with the volume of business we represent, gives your ministry more leverage and buying power. This translates into lower guest room and food and beverage rates, reduced or complimentary meeting space rental, beneficial concession packages, and contract language that is in the best interest of your ministry.

Once a short list is determined, we can work with the Hotels and local Convention Bureau’s (CVB’s) to arrange personalized in-person or virtual site inspections for an up close view of the cities and hotels under consideration. Depending on the size and scope of your program, we can often negotiate complimentary site rooms and travel for you.

Our industry accepted Arrowhead contract is a valuable resource for our ministry partners. This contract protects ministries from financial risks (i.e. attrition and cancellation) and clearly outlines all of the items agreed upon during the RFP process: rates, pricing, guest rooms, meeting space, concessions, and more. With our extensive understanding of both hotels and ministries, we draft our contracts to protect your ministry from the most common pitfalls and liabilities and establish a foundation for smooth planning and a successful event.
