Arrowhead provides affordable, expert online registration and housing management services for your event. We can create a customized website that will seamlessly integrate your conference registration with your attendees’ hotel reservations. It allows the flexibility to use the registration feature alone, the housing feature alone, or to combine them for one, seamless process. These tools are always accompanied by the servant-minded customer service you’re used to from Arrowhead. Our dedicated housing and registration team walks alongside your ministry before, during, and after to ensure the event is a success.
Features
Our registration and housing tool was designed and developed by a ministry to meet the unique and flexible needs of ministry events. You may choose to use the system for traditional individual reservations, or you may choose to allow one person to register and reserve guest rooms for a group of individuals in one registration with one payment. You may select customizable and password-protected registration types, and you may choose the order that attendee groups are allowed to register. You can offer the ability to request specific roommates, and the system will automatically seek the permission of anyone requested to be a roommate. You may also use the tool to allow attendees to register for breakouts and to purchase merchandise.
Because we are a non-profit ministry and our system was designed by a ministry, we are able to offer pricing that is friendly to ministries. Because our housing tool is less expensive than the leading housing systems, we’re often able to negotiate the costs of both the registration and housing tools into the hotel agreements, effectively providing both services complimentary to our ministry partners.
Choose just the registration management tool, utilize our housing tool with your own ministry registration solution, or combine them into one, integrated tool, allowing you complete control over your hotel room blocks.
Because our system offers fully integrated registration and housing, attendees can both register and book guest rooms within the same system. This means there is no need for attendees to enter contact information twice into different systems. The system can be configured to require registration and payment prior to allowing a guest room to be reserved. You can limit guest rooms to one per paid registrant, which gives you the ability to better manage room blocks, reduce wash, and avoid the challenges of “room hoarding”. Our housing system also allows you to maintain control of the entire block, including changes and cancellations until the cut off date, and in some cases until the day of arrival. In addition, blocks can be managed to drive attendees to specific contracted hotel blocks in order to purposely fill hotels if needed to avoid attrition.

We pride ourselves on the high level of service we provide and never leave you on your own. When utilizing our housing tool, we work with the hotel on your behalf to manage room types and monitor and request additional rooms as needed. We submit rooming lists to hotels, track requests for ADA rooms, send email communications to registered attendees, and provide helpdesk assistance for attendees with registration and housing questions. The seamless interaction between the registration and housing systems saves attendees time by allowing them to both register for the event and book their guest rooms in one, easy step. This means there is no need for attendees to enter contact information twice into different systems.
Our help desk representatives are true servants. The level of hands on support we offer is incomparable not only for your ministry but also for all of your attendees. Regular support offerings include fielding questions from attendees, assisting attendees in reserving rooms, manually assigning and changing roommates as needed, adjusting room types, changing hotels, tracking roommate requests, and canceling reservations. As the planner, you’ll receive regular updates in the form of registration and housing reports so you never have to worry about how your registration numbers are tracking and how your room blocks are filling.
For your convenience, a variety of reporting options are available. We offer administrative access to unlimited users and provide detailed training and instruction so you’re comfortable with the system and are able to view and track registration numbers in real time. You’ll also receive regular registration and housing reports so the latest information will be at your fingertips. The unique functionality of having a fully-integrated registration and housing system allows you to run reports and send emails based on registration or reservation status, which can be used to help manage your room block.
Easily communicate important information to all your registrants with our email feature. You’ll have the ability to create and send custom emails to attendees related to registration, housing, or both. Send emails to all attendees or send focused emails to specific groups. For example, when utilizing the fully-integrated registration and housing tools together, you can identify all attendees who haven’t made a hotel reservation and send a customized email to encourage them to reserve rooms by the cut off. This will help increase your pickup, reduce your chances of paying unnecessary attrition fees, and give you confidence in your room night guarantees for future planning purposes. Communication is easier with monitored replies. When attendees receive email communications from the system, they can easily reply directly to our helpdesk. Your attendees will receive a timely response from an Arrowhead representative who will always offer assistance.
Arrowhead uses the highest levels of data protection as adopted by our parent organization, Cru, and that includes meeting the strictest Payment Card Industry (PCI) Compliance standards, rules, and regulations. Data is protected, encrypted and/or tokenized. Whether you choose to use your merchant account or ours, you can be assured that your attendees’ information will be safe and protected over and above industry standards. We can connect your registration site to authorize.net or PayPal Pay Proflow and your attendees can pay registration fees with their Visa, Mastercard, American Express, or Discover. If you want to avoid bank or merchant fees, we can set up your registration site to receive check payments or electronic check payments only.
